Last updated: October 2026

This is a template Privacy Policy document. It should be reviewed by a qualified attorney before going live. Laws vary by jurisdiction, and your specific data practices may require additional provisions.

1. Information We Collect

We respect artists' privacy and limit the information requested during signup. We collect account information, identity details (legal name, stage name, date of birth, and address), your agreement signature, and your PayPal email for royalty payouts. New artist onboarding does not require tax IDs, tax-document uploads, or bank account and routing numbers. We also collect release metadata, artwork, audio files, and usage data needed to operate the platform. Your PayPal email and identity details are still personal information and are treated accordingly.

2. How We Use Your Information

We use your information to: (a) verify your identity and comply with anti-fraud and KYC regulations; (b) process royalty payments and issue tax documents; (c) distribute your music to streaming platforms; (d) communicate with you about your releases, payments, and account status; (e) provide studio, mastering, and promotional tools; (f) comply with legal obligations including DMCA and tax reporting. We do not sell your personal data to third parties.

3. Data Storage & Security

We use access controls to protect personal information and uploaded files. Your PayPal payout email is stored with your account so the team can send royalties. We do not ask you to provide PayPal passwords, bank account numbers, or routing numbers for royalty payouts. Checkout payment credentials are handled by payment processors rather than collected through artist onboarding.

4. Third-Party Services

BeatSync integrates with third-party services to provide its features: (a) Streaming platforms (Spotify, Apple Music, etc.) receive your release metadata and audio for distribution; (b) Payment processors handle checkout and subscription billing; (c) AI APIs (Replicate) power stem separation and audio processing; (d) Cloud storage providers host your files. Each third party has its own privacy policy governing data they receive.

5. Audio & Content Data

Audio files you upload for distribution or stem separation are stored privately and accessible only to you and authorized label administrators. We do not use your audio content to train AI models. Processed stems and mastered tracks are retained for your use within the Studio and may be deleted at your request.

6. Royalty & Payment Data

Artists can receive royalties through PayPal without providing tax IDs, tax-document uploads, or bank details during onboarding. We use your PayPal email to send payouts and retain royalty reports, split sheets, and transaction records for accounting. Revenue split information is shared with collaborators who have claimed their split. PayPal handles its own account verification and may request information under its policies. This signup policy does not waive applicable tax or reporting obligations; if additional information is legally required, we will explain the reason and how to provide it securely.

7. Data Retention

We retain personal information while needed to operate your account, administer your agreement, and maintain payment records. Tax-document uploads are not part of new artist onboarding. Previously supplied documents and other records are retained only as needed for applicable legal and accounting requirements. Audio files and release metadata are retained for the duration of your distribution agreement and any takedown processing period. You may request deletion of your data subject to legal retention requirements.

8. Your Privacy Rights

Depending on your jurisdiction (GDPR, CCPA, or other local laws), you may have the right to: (a) access the personal data we hold about you; (b) request correction of inaccurate data; (c) request deletion of your data; (d) export your data in a portable format; (e) object to certain processing; (f) withdraw consent for optional processing. To exercise these rights, contact your Meltrix Records representative.

9. Children's Privacy

BeatSync Distribution is not directed to individuals under 18. We do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal data, please contact us and we will delete it promptly.

10. Cookies & Tracking

The app uses essential cookies and local storage to maintain your login session, store preferences (theme, language), and track analytics events. We do not use advertising cookies. Analytics data is aggregated and does not identify individual users.

11. International Data Transfers

Your data may be processed in countries other than your own, including the United States. We take measures to ensure appropriate safeguards are in place for international transfers, including standard contractual clauses where required.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated through the Platform or by email. Continued use of the Platform after changes take effect constitutes acceptance of the updated policy.

13. Contact
